General Statement of Duties:
Provides advanced technical and administrative support to the Automotive Tech program faculty and staff.
Responsibilities:
Greeting visitors, vendors, and maintenance/facility people that come to the academic site located at 42 Linus Allain in Gardner, MA;
Assisting contractors that need access to specific parts of the building (i.e., electrical meter reading or lift inspectors);
Coordinating purchasing and working with the business office regarding accounts receivable/payable;
Completing necessary forms such as travel requisitions, professional development requests, and others as necessary;
Scheduling live work and contacting customers when their vehicles are ready for pickup;
Ordering tools for the students and overseeing tool/equipment orders for special service tools, parts for repairs, and daily consumables we use for jobs and service in the shop;
Overseeing tool organization in the shop;
Coordinating building maintenance; making sure SchoolDude tickets are put in for repairs and maintenance in a timely manner;
Coordinating with the grants department and the PI/Co-PI for grants to ensure we meet deadlines and stay within budget (i.e. NSF EV ATE grant and others);
Maintaining program accreditation schedules and maintaining records for NATEF/ASE Education Foundation and other program-related activities;
Building and maintaining professional relationships with local auto dealers, shops and professionals to engage with student co-op placement;
Providing general support for students and instructors;
Coordinating student activities and field trips, and maintaining necessary documentation;
Coordinating new student outreach and maintaining contact with program graduates;
Performing lab prep work and creating documentation for students to complete alongside any live work they do ;
Assisting the department chair/faculty with reporting, including IR data requests and data tracking;
Special divisional projects as assigned and supervised by the Dean of Business, Science, Math and Technology;
Other duties as assigned.

Job Requirements:
Minimum Qualifications:
Applicants must have at least (A) four years of full-time, or equivalent part-time, experience in office work, of which (B) at least one year must have been in a supervisory or administrative capacity, or (C) any equivalent combination of the required experience and the substitutions below.
Substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required (A) experience.*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required (A) experience.*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required (A) experience.*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required (A) experience.*
*Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
NOTE: Educational substitutions will only be permitted for a maximum of two years of the required (A) experience. No substitutions will be permitted for the required (B) experience.
Required Knowledge, Skills, and Abilities:
Proficiency with Word/Excel/Outlook & Adobe;
Demonstrated critical thinking skills, problem-solving abilities, and aptitude for working with technology;
Strong customer service skills and understanding of how to handle sensitive, confidential, or restricted information.
Desired Qualifications:
Experience handling routine office tasks such as: document management, records retention, maintaining a desktop ledger and tracking budget expenses, and maintaining multiple staff calendars and scheduling;
Ability to handle multiple, simultaneous assignments and work in a fast-paced, student-focused and customer service driven environment;
Associate degree in automotive technology or relevant field;
ASE certifications;
Current work experience in the automotive field;
Previous work experience in an educational setting.

Additional Information:
Salary: $47,338.98 - $66,524.12
An appointment made from outside the bargaining unit will be at step 1 ($47,338.98) unless the collective bargaining agreement dictates otherwise.
